Project Management Office
- Monitors and maintains the daily operation of the facilities, equipment and building systems, and grounds ensuring compliance with all operational policies and procedures to meet or exceed defined standards of service.
- Ensures the facility and grounds meet health, safety and security requirements in conjunction with Human Resources and other related departments.
- Oversees and coordinates all work with contractors and service providers as appropriate.
- Prepare and implement preventative maintenance schedules, testing and safety programmes and any necessary reactive or planned maintenance works.
- Maintain awareness of activities, issues, trends, concerns, problems and upcoming events through regular communications with managers and key staff at designated facilities.
- Keeps maintenance and repair logs and performs/facilitates minor or general maintenance repairs as needed.
- Identify and create the scope of work for maintenance activities throughout the group in accordance with the procurement process and make recommendations as required.
- Monitors the overall progress of facilities projects ensuring that they are in line with the established standards.
- Assists in ensuring that large facilities projects and programmes are completed as per the project milestones and within required timeframes and budget.
- Liaise with the ICT Department to ensure that the functionality and maintenance of the controlled access & CCTV systems are up to the required standard for business units.
- Manages the cleaning services to ensure that all buildings of assigned business units are maintained in accordance with corporate standards.
- Manages the security services to ensure that all employees, buildings and assets of assigned business units remain secure.
- Ensures compliance with all applicable regulations.
- Liaise with appropriate internal and external authorities on building, property and fleet matters; preparing appropriate forms and reports as required.
- Liaise with the Procurement team to ensure adequate supply of maintenance inventory and equipment in accordance with organizational policies and procedures.
- Assists with the preparation of RFPs and other proposal documents as required. Monitors the performance of contractors in line with standards as outlined.
- Prepares reports and presentations on facilities management issues, as required.
- Provides project leadership during various building work/construction phases.
- Attends meetings and serves on committees as required.
- Performs other duties as assigned.
- Prepare annual facilities budget and ensures cost controls. Liaises with Department Heads in controlling costs.
- Manages, schedules, and evaluates the work of direct reports.
- Responsible for the performance, appraisal, training and development and coaching and mentoring of direct reports.
- Any other duties ancillary or related to the foregoing.
- Associate’s Degree in Electrical or Mechanical/Civil Engineering or a related field with a minimum of 5 years’ experience in facilities management and at least 3 year’s supervisory experience.
- Professional membership of the Facilities Management Institute would be preferable.
- Valid driver’s license.
- Flexibility and ability to work under pressure, including meeting deadlines and managing a complex range of tasks and demands simultaneously.
- Strong negotiation skills.
- Knowledge of air-conditioning systems, plumbing, electrical and mechanical, maintenance and custodial techniques.
- Ability to anticipate problems and provide effective solutions as well as preventing potential problems.
- Experience in the management of contractors/suppliers and contract negotiation
- Experience in the management of security and custodial contracts
- Working knowledge of maintenance & plant equipment.
- Knowledge of the SHAW Act and other related laws and policies.
- Commitment and desire to provide excellent service.
- Excellent Interpersonal and communication skills.
- Proficient in the use of Microsoft office productivity suite for the production of reports.
- Ability to manage contractors regarding maintenance and building works
- Serves on 24 hour on-call for all facility related emergencies, including alarms.
- Ability to work daytime, evening, and weekend hours.
- Physical dexterity for maintenance and janitorial duties (such as set up tables, stack chairs, change light bulbs, utilize manual and power tools, custodial equipment, climb ladders and stairs, carry trash and outdoor facility maintenance in various weather conditions).
- Physical dexterity to push, lift and occasionally carry heavy items in accordance with safety standards and protocols.
- Occasional exposure to fumes, airborne particles, allergens and cleaning chemicals whilst using the appropriate personal protective equipment (PPE).
